President:
- Presides over board meetings
- Establishes board agenda
- Ensures all executive offices are filled
- Provides guidance and direction to board
- Ensures liability insurance is maintained for HOA and Board members
Vice President Grounds and Maintenance:
- Presides over board meetings in event of President absence
- Acknowledges home owner grievances and resolves in AOR
- Secures bids for hired services including but not limited to:
- Maintenance of common areas, i.e. mowing, plantings, fertilization
- Common area Tree maintenance
- Common area Fence maintenance
- Common area Lawn Sprinkler maintenance
- Refuse disposal service
Vice President Pool and Cabana:
- Presides over board meetings in event of President or VP GM absence
- Secures bids for pool services
- Secures bids for Cabana service and maintenance
- Establishes pool hours of operation
- Ensures proper security, lighting in pool area
- Advises home owners of security entrance via website or letter
- Acknowledges home owner grievances and resolves in AOR
Secretary:
- Creates and maintains website
- Creates and maintains home owner directory
- Creates and delivers new homeowner kit
- Coordinates and mails all outgoing correspondence to home owners
(at least 2 major mailings a year, including annual dues letter)
- Maintains master homeowner list
- Ensures annual publication of directory
- Provides minutes for board or committee meetings
- Manages any homeowner communication
Treasurer:
- Prepares annual HOA budget
- Maintains bank account
- Submits for approval and pays all vender expenses
- Bill and Collect HOA annual dues
- Prepares annual financial statement – publishes to HOA
Chairman Architectural Committee:
- Creates a 4 person non-board committee
- Creates Homeowner request process, board submission, approval/denial
feedback
- Monitors architectural integrity of sub-division including:
- Home construction, paint color, roofing design, type, color
- Fence construction, quality, type
- Exterior Structures, quality, type
- Driveway/sidewalk quality type
- Polices homeowner maintenance
Chairman Social Committee:
- Creates 3 person non-board committee
- Creates sub committees as required to develop social events.
- Coordinates social events –picnics, children events
- Submits special (financial) requests to board for approval
- Ensures clean-up following events if required
- Coordinates annual garage sale
